We are seeking a Fleet Management Assistant who will be responsible for maintaining the company’s fleet of vehicles, ensuring efficient operations, effective management, and optimal performance. This role involves managing vehicle acquisition, maintenance, compliance, and utilizing technology to enhance fleet efficiency.

Location: ITBM Logistics, Dobrotin (Gracanica), Kosovo

Type: Regular Full-Time

Responsibilities:

  • Oversee day-to-day fleet operations, including scheduling, vehicle assignments, and monitoring utilization.
  • Develop strategies to optimize fleet efficiency, reduce costs, and improve service delivery.
  • Implement and manage fleet management systems and technologies, including GPS tracking.
  • Develop and execute a preventive maintenance program to minimize downtime and extend vehicle lifespan.
  • Coordinate and manage vehicle repairs and servicing, collaborating with internal teams and external vendors.
  • Oversee the disposal of old or obsolete vehicles, ensuring proper resale or recycling.
  • Ensure fleet operations comply with all local, state, and federal regulations, including vehicle registration, inspections, and emissions standards.
  • Implement and enforce safety protocols and procedures, including driver training and accident management.
  • Develop and manage the fleet budget, covering costs related to fuel, maintenance, repairs, and insurance.
  • Monitor expenses, identifying opportunities for cost savings and efficiency improvements.
  • Analyze fleet performance data, including fuel usage, maintenance costs, and vehicle utilization.
  • Generate and present reports on fleet operations, performance, and financials to senior management.
  • Negotiate and manage contracts with vehicle suppliers, maintenance providers, and other vendors.
  • Evaluate and monitor vendor performance to ensure service quality and compliance with agreements.
  • Ensure that offsite fleet operations comply with local, state, and federal regulations.
  • Implement and manage fleet management software and systems that support offsite reporting and monitoring.
  • Address and resolve any technical issues related to offsite data collection or reporting systems.
  • Oversee driver training programs to ensure safe and efficient vehicle operation.
  • Monitor driver performance, addressing issues related to safety, efficiency, and compliance.

Qualifications:

  • High school diploma or equivalent required; an associate’s or bachelor’s degree in logistics, business administration, or a related field is a plus.
  • Proven experience in fleet management, logistics, or a related role.
  • Proficiency in fleet management software and technologies, including GPS tracking and reporting systems.
  • Strong understanding of vehicle maintenance, repair processes, and preventive maintenance programs.
  • Excellent verbal and written communication skills for coordinating with internal teams, vendors, and senior management.
  • Strong organizational skills with a keen eye for detail in managing vehicle records, compliance, and safety protocols.
  • Familiarity with local, state, and federal regulations related to fleet operations, including vehicle registration, inspections, and emissions standards.
